How the automation works

Software does the routine work. You stay in charge.

Behind the scenes, a lot of the work we do for you is done by software: texting back missed calls, answering after hours, sending reminders, drafting estimates. Here's what's automated, the rules it always follows, and how you stay the boss.

An after-hours call to a made-up plumbing company. The greeting is exactly what the automated assistant says.

What's automated

Routine work runs on its own. Anything that needs judgment waits for you.

Some work is the same every time: a text back to a missed call, a reminder about an unpaid bill, a review request after a job. You read the wording once and approve it, and from then on it goes out by itself, at sensible hours, and stops when the customer answers.

Other work needs judgment: a new time for a customer, an estimate, a final notice. That is drafted for you, and it waits for your yes. You can read every message, pause anything, and undo a change.

We run our own company the same way, so every rule below is one we live by first.

The rules

What it always does, and never does

  1. You approve first

Anything new waits for your OK. Once a task has been right about 50 times, you can let it run on its own, and take that back any time.

  2. It says what it is

Calls are answered by an automated assistant that says so at the start of every call. If anyone asks whether they’re talking to a person, they get the truth.

  3. Safety comes first

Urgent and dangerous situations skip the questions and go straight to a person. If something sounds dangerous, the customer is told to get to safety first.

  4. Stop means stop

If someone asks to stop being contacted, in any words, every text stops at once, and it’s recorded so it never happens again.

  5. Nothing made up

It never invents a price: it uses only your price list and the answers you’ve approved. Every number in a report comes from something measured.

  6. Your customers stay yours

Your customers’ details are used only to serve your business. We never sell them or use them for anything else.

Questions

Common questions

Will it text my customers things I didn't approve?

No. It only texts customers about what they asked for, or their own appointment and bill, from your business’s number, in wording you’ve approved. A new arrival time, a handoff to another tech or a final notice is put to you first.

What if a tech is driving?

They call the assistant and talk, hands-free. It reads the choices back and they answer “one”, “two” or “no”.

What does it cost?

Calls, review requests, bill reminders and help for your techs come with Front Office and Software only. Everything comes with the Perpetual Workforce plan, or add one piece at a time. It’s all on our pricing page.
